Receptionist/Administrator

We are looking for a receptionist/administrator to join our admin team.  The successful candidate will provide a courteous, efficient and professional reception and administrative service.  This post is offered on a permanent, full-time basis (37.5 hours per week).

Main Responsibilities

-  Answer all incoming calls on the main switchboard, ensuring a quick response and accurate transfer to the appropriate person
-  Dealing efficiently and professionally with customer queries
-  Greeting visitors and directing them appropriately
-  Ensuring all visitors are logged in
-  Maintaining consultant diaries on Practice Manager system
-  Taking responsibility for the upkeep and tidiness of the main reception area
-  Assisting in the setting up of clinic/meeting rooms and organising refreshments when requested
-  Booking appointments as required
-  Ensuring files are prepared for clinics as required
-  Processing customer payments
-  Ordering stationery
-  Handling all incoming and outgoing mail
-  Supporting the administration and other teams as required

Criteria

Essential criteria:
-  4 GCSEs (Grade A-C) or equivalent to include English;
-  1 years’ experience working in a similar role;
-  Competent in the use of Microsoft Word, Excel and Outlook;
-  Excellent keyboard skills;
-  Ability to communicate effectively with a wide range of people;
-  Excellent customer service skills and telephone manner;
-  Excellent organisational skills;
-  Ability to deal with confidential/sensitive issues appropriately;
-  Ability to work well as part of a team as well as on own initiative.

Desirable criteria:
-  RSA/OCR Level 2 Word/text Processing;
-  Experience working within a healthcare setting.
